Arunai
AI training & workflow automation · San Antonio, TX

The work eating your team's week can mostly be handed to software.

Arunai sits down with San Antonio-area service businesses, maps where the hours actually go, and builds the automations that give them back. On-site, on your systems, with your people trained to run it.

What is manual work actually costing you?

Set the sliders to match your business. The grid shows one person's 40-hour week and the share we'd typically expect to hand back.

Estimate only — not a quote. It assumes roughly 40% of repetitive hours are worth automating, which is deliberately conservative. Your real number depends on which systems you run and how the work is structured.

What you can hire us for

Four ways in, depending on where you're starting.

Workflow Review

90 minutes · on-site or virtual

We walk through where the day actually goes, mark what's realistically automatable, and hand you a ranked list with rough time-savings attached. The write-up is yours to keep either way.

Where most owners begin.

Team AI Workshop

Half day · 30 days follow-up

A working session on using AI inside the tasks your team already handles — not a lecture on what AI is.

  • Exercises drawn from your team's own daily work
  • A reusable prompt set your team keeps
  • Plain rules for what AI should and shouldn't touch
Best in person — it holds better with someone in the room.

Automation Build

3–5 workflows · 4–6 weeks

Built, tested against your live data, and handed over with training on each one.

  • Incoming requests sorted and routed on their own
  • Recurring reports assembled from tools you already pay for
  • New leads logged with follow-up that sends itself
Documentation and staff training in every handover.

Monthly Support

Ongoing · cancel any month

For businesses that want systems maintained as tools change and the team grows.

  • We watch for breaks and fix them before you notice
  • One or two new automations each month
  • A quarterly summary of hours saved
  • Onboarding for every new hire
No annual contract.

This just points you at a starting place. Nothing gets sent anywhere.

Where are you with AI right now?

What's the bigger frustration?

Pick an answer above

We'll suggest a starting point based on what you choose.

Where we work

San Antonio, and everything within about an hour of it.

On-site visits are included at no extra travel charge anywhere on this list. Outside it, we'll still talk — we just add travel.

  • San Antonio & all of Bexar County
  • New Braunfels
  • Boerne
  • Schertz
  • Cibolo
  • Seguin
  • Converse
  • Universal City
  • Live Oak
  • Selma
  • Helotes
  • Bulverde
  • Castroville
  • Floresville
  • Pleasanton
  • Fair Oaks Ranch

Farther out — Austin, Kerrville, Victoria, the Valley — we take on selectively, usually as a mix of one on-site day and remote follow-up.

Who we help

Almost any business that runs on people, paperwork, and follow-up.

The examples below are just the ones we get asked about most. The underlying pattern — work repeated by hand every week — shows up in nearly every business we walk into.

Home services & HVAC

August here means the phones don't stop. Quote requests, dispatch changes, a truck stuck on 1604 — all handled by hand, all at once.

  • Quote requests logged and answered within the hour
  • Dispatch updates pushed to crews automatically
  • Review requests sent after every completed job

Typically 10–15 admin hours back per week

Property management & real estate

Maintenance tickets sorted by hand, vendors chased over email, owner statements pulled out of three separate logins.

  • Tickets routed to the right vendor on arrival
  • Vendor confirmations tracked without follow-up emails
  • Owner reports built weekly from software you already use

Typically 10–15 admin hours back per week

Clinics & professional offices

Intake forms retyped into the system, referrals tracked on paper, and someone spending Friday afternoon on reminder calls.

  • Intake details moved into your system without retyping
  • Reminders and confirmations sent automatically
  • Referral and follow-up status visible in one place

Front-desk hours returned to patient-facing work

Trucking & logistics

The same load details typed three times — once into the TMS, once into a customer email, once into accounting.

  • Document details pulled out and pushed into your TMS
  • Customer updates triggered by the system, not a person
  • Accounting entries synced without a second keystroke

Typically 15–20 hours cut across a small ops team

Retail, wholesale & distribution

Orders arrive by email, phone, and portal, then get keyed into inventory by hand. Stock questions get answered by someone walking to a shelf.

  • Orders captured from any channel into one place
  • Reorder alerts before something runs out
  • Customer questions answered from live stock data

Fewer keying errors and faster order turnaround

Any office running on email and spreadsheets

Agencies, nonprofits, insurance offices, contractors, schools. If the same file gets updated by four people and the same email gets written every Monday, this applies to you.

  • Recurring emails and reports drafted automatically
  • Spreadsheet updates pulled straight from the source
  • Approvals and handoffs tracked without chasing

Usually the fastest place to find early wins

Whatever you do, the question is the same: which work happens the same way every week? Book a call and we'll tell you honestly whether there's enough there to be worth it.

Setting expectations

What we don't do.

Worth saying out loud, because a few of these are what people expect from consultants.

We don't resell softwareWe take no commissions or referral fees from any vendor. If the right answer is a tool you already pay for, that's what we'll tell you.
We don't replace your staffEvery automation is handed to a named person who understands it. The goal is fewer wasted hours, not fewer people.
We don't run long discovery phasesNo six-month engagement before anything works. If we can't show something useful inside a few weeks, the scope was wrong.
We don't take work we can't measureIf we can't agree on what "better" looks like in hours or dollars up front, we'll say no.
What happens after you call

The first thirty days.

Day 0 · 20 minutes

The intro call

You describe what's eating the week. We say plainly whether we can help — and if we can't, we'll point you toward someone who can.

Week 1 · half a day on-site

Workflow review

We come to you, watch a normal shift, and talk to the people actually doing the work. You get a written, ranked list of what's automatable with rough time-savings attached.

Week 2 · scoping

Pick one thing

We agree on a single workflow or a workshop, with a fixed price and a definition of what success looks like in hours saved.

Weeks 3–4 · build and hand over

Something real, running

Built against your live data, tested with your team, documented in plain English, and owned by a person on your staff before we step back.

Your data

What we touch, and what we don't.

NDA before anything sensitiveWe'll sign yours, or provide one, before looking at customer records or financials.
Written data mapEvery automation comes with a plain-English note of which data it reads, where it sends it, and who can turn it off.
Your accounts, your controlWe work inside your systems under accounts you own and can revoke the day we finish.
Sensitive fields stay outWhere a workflow doesn't need customer PII to function, we design it so it never sees it.
Client results

What owners say.

"[Replace with a real client quote — what was frustrating before, and what changed.]"

— [Name], [Role], [Company], San Antonio

"[Replace with a real client quote — ideally one that names a concrete number of hours or dollars.]"

— [Name], [Role], [Company], New Braunfels

"[Replace with a real client quote — something about the on-site experience works well here.]"

— [Name], [Role], [Company], Schertz

Before you publish: replace these with real, permitted quotes from actual clients — or delete this entire section. Publishing invented testimonials is deceptive advertising and can draw an FTC complaint. An empty section is far better than a fabricated one.

About

Local, and staying that way.

Arunai works with San Antonio-area businesses on one thing: making AI genuinely useful inside the work your team already does every day.

We keep the client list short on purpose. Showing up in person, working through the awkward parts of a real workflow, and staying reachable after the handover doesn't scale well — and it's the part that makes any of this stick.

We're not here to sell you software. We're here to get your people out of the office earlier.

Common questions

What owners ask on the first call.

Do we need someone technical on staff?

No. Most of the businesses we work with don't have an IT person at all. We build around the tools you already use and train whoever runs the office day to day.

Which software do you connect to?

Whatever you're running — your CRM, scheduling system, spreadsheets, email, accounting package. We'd rather fit your setup than ask you to replace it.

What does it cost?

The workflow review is a flat rate. Builds are quoted after we've seen the work, since scope varies a lot between businesses. We'll talk real numbers on the first call — no proposal theater.

Will this put someone out of a job?

That's not what we're for, and we'll say so on the call. Every business we've looked at has more work than hours. Automating the retyping means the same people spend their time on customers instead.

What if it breaks after you leave?

Everything we build carries a 60-day fix guarantee, and the handover includes documentation plus a trained owner on your staff. After that, monthly support is optional — plenty of clients run their own.

How fast do we see something working?

The review gives you a written plan within a day. A first automation is usually running within a few weeks, depending on how your systems are set up.

Do you work outside San Antonio?

Bexar County and the surrounding towns are covered with no travel charge. Farther out we take on selectively, usually structured as one on-site day plus remote follow-up.
